How to choose HRMS software for a small business in India

Attendance, leave, payroll, field staff and mobile access — the questions to ask before you pick an HR system for a team of 5 to 50.

Start from how attendance happens today

If everyone works from one office, a simple IN / OUT on the phone with an office geofence is usually enough. If you have sales or service staff on the road, you need attendance that works away from the office and a way to see client visits during duty hours. Write down who marks attendance where before comparing any software.

Check what employees will actually use

An HRMS only works if employees open it every day. Look for a phone app in which marking attendance, applying for leave and seeing a payslip each take a few taps, and support for Hindi where your team prefers it. Ask for a demo on a normal Android phone, not only on a laptop.

Payroll, tasks and reports: buy for the next 12 months

Many teams start with attendance and leave, then need payroll, task delegation and manager reports within a year. Choose a system where those are plan upgrades, not a migration. Check that reports export to CSV or PDF so your accountant can use them.

Data, roles and a free trial

Confirm that managers see only their own team, that your company data is separated from other customers, and that you can export your data if you leave. Finally, run a free trial with a real team for at least two weeks before deciding — that shows more than any feature list.
